Every individual and company in Spain, whether Spanish nationals, foreign residents, or corporations, is very familiar with their NIF (Número de Identificación Fiscal or Fiscal Identification Number).

This vital identifier is used daily in multiple contexts within Spain, including dealing with public administration, conducting business, issuing invoices, signing contracts, or submitting tax information, among others.

If you are a Spanish company or run a business primarily serving Spanish customers, you’ll undoubtedly interact with these numbers regularly. This process, however, has its pitfalls: from human errors in entering the numbers, missing characters, to inconsistent formatting, there are many potential issues. Many online tools promise to validate these numbers, but they come with a major downside: as NIFs are sensitive data, sharing them with such platforms may constitute a violation of privacy laws. You also expose yourself to the potential of these websites harvesting submitted information for nefarious purposes.

It’s not just about compliance with privacy laws: the process of validating each number one at a time through an external tool is time-consuming and inefficient, as is the task of manually and consistently formatting each number.

Recognising these challenges, we have developed this practical Zoho CRM extension to address them head-on. This extension enables seamless and secure validation and formatting of NIFs right within your CRM, without any data leaving it. Compatible NIF types
 

The extension has been developed to automatically identify and validate the following types of NIF:

  • DNI (Spanish nationals)
  • NIE (foreign residents)
  • CIF (businesses, corporations, public administration and other legal entities)

 

Getting started
 
  1. Install the extension from the Zoho Marketplace.
  2. Adjust the extension settings as described below.
  3. The extension is now working.
 
 
Settings
 
Once the extension is installed, you can alter how it works by tweaking the extension settings. The options for these settings are as follows:
 
  1. NIF Field API Name: Each module has its distinct field for this setting which stores the API name of the field where NIFs (National Identification Numbers) are located for that specific module. This field will be subjected to validation. The pre-set value is ‘idvalidator__NIF‘, corresponding to the API name provided by the extension itself. If you prefer to use a different field (for instance, if you already have a custom field set up for NIFs), you’ll need to substitute the preset value with the API name of your chosen field.

  2. Format NIF to uppercase alphanumeric: By default checked (ON), which means any valid NIFs will be converted into an uppercase alphanumeric format, removing any characters that aren’t either digits (0-9) or uppercase letters (A-Z). Invalid NIFs won’t be subjected to this formatting. If you want to keep all NIFs as inputted, uncheck this option.

 
How to use
 

The extension will automatically operate in the background, validating the NIF fields in the Leads, Contacts, and Accounts modules. This validation process will occur instantly every time a record is created or edited.

Please notice that in each of these modules new fields will be created:
 
  • A NIF field, where NIFs may be inserted.
  • NIF Status dropdown, which will display “Valid” or “Invalid” depending on the validation result of the NIF in the NIF field.
After creating a record, you might need to refresh the page in order to view the processed results.
 
 
Enable the NIF and NIF Status columns in the List View to easily view your records' NIF status.

Privacy
 
Because NIFs are sensitive data, the extension performs all operations within your Zoho CRM instance and no data is shared with third parties, not even with us. Read the privacy terms.
 
 
Uninstall
 
You may uninstall the extension from the Zoho CRM admin panel, going to the Zoho Marketplace section.
